At Cultivate Yoga we track various metrics that help us gauge the success of our operations and discover new areas of opportunity that enable us to become a sustainable organization rooted firmly in our mission. These metrics are shared each and every month with our community via our Newsletter and are published on our Metrics page. Below you can learn more about each metric, why we track it and how you can help us reach our goals.

 
 

METRICS EXPLAINED

TOTAL DONATIONS

 

OUR GOAL

  • $22,000/month

WHAT is this metric?

  • Total Donations is the amount received from all revenue streams: warrior monthly giving, individual donations, corporate matching and grants.

WHEN is this metric calculated?

  • We calculate Total Donations at the end of each month and report the result at the beginning of the subsequent month.

HOW is this metric calculated?

  • We tally up all donations that we receive from various sources to create a grand total each month. Sources include but are not limited to: Stripe, Venmo, PayPal, Zelle, Benevity, cash.

WHY do we track this metric?

  • We track Total Donations to ensure we are covering all costs associated with operating our organization, including our yoga studios. Our largest expenses are studio rent and meaningful teacher pay. Put simply, if we do not reach this goal, we are unable to operate our studios (which are our main source of donation revenue) and are at risk of closure.

WHO can help us reach our goal?

  • Every single student who joins us for a class is a potential donor and plays a significant role in the financial sustainability of our organization.

    We ask for a suggested donation of $12/class or more from our students if that amount is accessible to them. We have calculated that $12/student/class on average is the perfect amount that allows us to reach full sustainability while providing quality and accessible yoga to the community at a reasonable price.

    Our mission is to provide yoga to those who may not be able to afford it and as such, provide yoga for free to anyone who needs it to be while also asking for the suggested donation or more when it is available.

    Other ways to help include becoming a monthly giving member (Cultivate Warrior) and requesting corporate (matching) donations.

AVERAGE DONATION

 

OUR GOAL

  • $12/visit

WHAT is this metric?

  • Average Donation is the mean amount that gets donated by an individual client/student for each class that they attend. 

WHEN is this metric calculated?

  • We calculate Average Donation at the end of each month and report the result at the beginning of the subsequent month.

HOW is this metric calculated?

  • Average Donation is calculated by dividing the Total Visits for the month by the Total Donations that were received by individuals for that month.

WHY do we track this metric?

  • Average Donation is a very important metric for us! When we reach this goal, we tend to reach our overall Total Donations goal as well and are able to cover our expenses for the month. It is difficult to ensure exact precision when calculating this result due to the wide array of revenue streams we receive however, the results that we see are an accurate depiction of the health of our organization. When we reach this goal, it means that our community understands our business model and chooses to donate back financially when they are able - sometimes $12/visit, sometimes more and sometimes less. On average we know that $12/visit will help us pay the bills and will sustain us into the future.

WHO can help us reach our goal?

  • Every single student who joins us for a class is a potential donor and plays a significant role in helping us reach this goal.

    Our organizational nonprofit mission is to remove the financial barriers that can prevent people from accessing a quality yoga practice. When clients join us for class, we do ask for a suggested donation of $12/visit if this is available to them. We honor each client’s decision to give back to Cultivate in any way that they can while ensuring that we share yoga out to those who cannot give back financially.

    Our ask of $12/visit is significantly less expensive than a vast majority of similar yoga offerings at other local studios in the area while still providing a high-quality practice led by experienced, knowledgeable and loving teachers.

    We are hopeful that every student of Cultivate sees the value in what we are sharing with our collective community and as such, donates back the suggested donation amount if and when they are able to sustain our mission for everyone.

TOTAL EXPENSES

 

OUR GOAL

WHAT is this metric?

  • Total Expenses is the amount that we spend each month to support our organization. Expenditures primarily arise from the costs associated with operating our studios. Below is a general list of our monthly expenses (showing largest costs on top):

    • Teacher Pay

    • Rent (both studios)

    • Operations Manager Pay

    • Software (Scheduling, Accounting, Website)

    • Utilities

    • Studio Maintenance and Supplies

WHEN is this metric calculated?

  • We calculate Total Expenses at the end of each month and report the result at the beginning of the subsequent month.

HOW is this metric calculated?

  • Total Expenses is calculated by adding up all costs associated with operating the organization within a given month.

WHY do we track this metric?

  • Tracking Total Expenses helps us to determine if we are receiving enough donations each month to cover the costs that we need to pay. If we do not receive enough donations to pay our bills, we can make changes going forward to remedy the situation including stepping up our fundraising efforts and cutting costs where possible.

WHO can help us reach our goal?

  • Total Expenses is a responsibility of our Operations Manager. It is a part of this job to ensure that we are paying our bills and stay afloat as an organization. If the Ops Manager recognizes a trend in Expenses vs. Donations that could hinder the organization in any way, they must communicate this to the Advisory Board to discover quick (and hopefully long-lasting) solutions that will help to create a more sustainable organization.

TOTAL VISITS

 

OUR GOAL

  • 1800 Visits/month

WHAT is this metric?

  • Total Visits is the number of clients that we serve each month at all of our classes across both studios.

WHEN is this metric calculated?

  • We calculate Total Visits at the end of each month and report the result at the beginning of the subsequent month.

HOW is this metric calculated?

  • We tally up all visits at both studios and report that result. Every time that a student comes in for a class, this counts as a visit.

WHY do we track this metric?

  • We track Total Visits to show us trends in class attendance that can help us make decisions on class changes. Total Visits can also help us discover opportunities to educate our community and find creative ways to drive attendance through promotion and marketing.

WHO can help us reach our goal?

  • New and existing clients are both significant factors in us reaching this goal. Every time a client chooses to practice with us in a class, this counts as a visit and helps us reach our goal. Additionally, all clients can help us increase our result by sharing out our story with friends, family and co-workers to help drive attendance upward overall.

NEW CLIENTS

 
 

OUR GOAL

  • 100 New Clients/month

WHAT is this metric?

  • New Clients are the total number of brand-new individuals who join us for their very first Cultivate Yoga class within a given month.

WHEN is this metric calculated?

  • We calculate New Clients at the end of each month and report the result at the beginning of the subsequent month.

HOW is this metric calculated?

  • We count each client who is new to our community and has joined us for their first ever Cultivate Yoga class within the month.

WHY do we track this metric?

  • We track New Clients because this is a strong indicator of our continued growth. As we grow, so does our reach into greater Cleveland/Northeast Ohio community and our ability to serve others through our mission of GIFT-BASED YOGA for ALL.

WHO can help us reach our goal?

  • Every existing client can help by sharing our story and mission with friends, family and coworkers to bring new people into our community. By recommending Cultivate Yoga to others, we can increase our overall attendance which can help to increase Total Donations and ultimately help sustain the entire organization.

 

METRICS EXPLAINED

UNIQUE CLIENTS

 
 

OUR GOAL

  • 600 Unique Clients/month

WHAT is this metric?

  • Unique Clients are the total number of individuals that join us for a class within a given month. A client can come in to practice at Cultivate multiple times throughout the month (aka multiple visits) but is only counted as single instance of a unique client once/month at the most.

WHEN is this metric calculated?

  • We calculate Unique Clients at the end of each month and report the result at the beginning of the subsequent month.

HOW is this metric calculated?

  • We count each individual client just once every month that they practice with us - regardless of the amount of Total Visits they accrue within that month.

WHY do we track this metric?

  • We track Unique Clients to gauge our overall growth and expanded reach throughout the community. Ideally we would see this metric trend perpetually higher over time with some minor and temporary decreases for expected seasonal fluctuations.

WHO can help us reach our goal?

  • Every new and existing client counts as a single Unique Client in the month that they practice with us. Every member of our community can help us increase this metric overall by sharing our story and mission with their friends, family and coworkers to increase attendance.

 

METRICS EXPLAINED

ACTIVE CULTIVATE WARRIORS

 

OUR GOAL

  • 150 ACTIVE Cultivate Warriors at any given time

WHAT is this metric?

  • Active Cultivate Warriors is a progressive and additive metric, meaning it does not reset each month or each year. Our Cultivate Warriors are individuals who choose to donate $100 or more to the organization on a recurring basis and as new Warriors join, we add them to the overall total.

WHEN is this metric calculated?

  • We calculate Active Cultivate Warriors throughout each month (as they join) and report the collective total at the beginning of the subsequent month.

HOW is this metric calculated?

  • When a new Cultivate Warrior signs up for a monthly giving membership, we add them to our progressive tally of Active Cultivate Warriors.

WHY do we track this metric?

  • Our monthly giving membership (Cultivate Warrior) program has become paramount to our success as an organization. As our expenses continue to rise with increases in rent/utilities and intentionally strong teacher pay, it is increasingly important to know that we have expected recurring revenue to help cover the costs of operating our studios. If the total amount of donations received from our Cultivate Warriors can meet or exceed the amount needed to pay the majority of our expenses, we can serve even more individuals who may not be able to donate back to the organization - expanding our reach and living our mission!

WHO can help us reach our goal?

  • Everyone is a potential Cultivate Warrior - not only our students/clients!

    Anyone can signup to give back to Cultivate in this very special way if they believe in our mission and are in a financial position to do so. A Cultivate Warrior is usually someone who does practice with us quite a bit and who is passionate about our mission but it can also be someone with a big heart who wants to support yoga for others in their community.
